ESF TOURNAMENT INFORMATION

HOW TO BOOK – ESF UK VENUES
1. Select an ESF venue and call ESF Events on 01664 566360 to check availability.
2. Reserve a place. We will make a provisional booking free of charge which will hold your youth football team a tour place for 2 weeks.
3. Return the ESF Registration Form and Team/Club Registration Fee. The Group Leader will then be emailed a booking confirmation and your accommodation booking information.
4. Book your accommodation through ESF Events with an accommodation deposit of £30pp, by a set date, normally 3 weeks after your ESF Registration Form is received. You will then be advised of your final balance which will be due 56 days prior to your tour.
HOW TO BOOK – ESF INTERNATIONAL FESTIVAL AT DISNEYLAND PARIS
To register your interest or to reserve places at the International Youth Festival of Football at Disneyland® Paris, simply call us on 01664 566360.
We will then send you our detailed Festival Information Pack, containing all the information you will need to make your booking.
The International Festival is organised in conjunction with our official travel partner Sport Experiences, ABTA V787X.
FOOTBALL ASSOCIATION SANCTION
Every aspect of the game, its safety and ethos is upheld to the highest standards. All ESF Festivals are sanctioned by and organised in accordance with the regulations of the relevant National Football Association.
UK FESTIVAL FORMAT
Friday – No football is played on the day of arrival so teams can relax and get settled into their accommodation and enjoy the evening’s entertainment. Our managers meeting will take place in the evening at around 8pm.
Saturday & Sunday – Each age section will normally be split into different groups with the group winners going through to contest the knock-out stages. The format may vary according to the number of teams entered in each age group. The celebrity presentation will take place on the Sunday evening.
Monday – No football is played on the Monday at the festivals. Teams therefore have the option of travelling home on the Sunday evening or Monday morning.
NOTE TO ENGLISH TEAMS
Following the Football Association Youth Development Review, the amount of competitive football teams can play in their season is now restricted in certain age groups. However, the FA have confirmed that ESF falls outside of these restrictions so you can participate in ESF without limiting the amount of competitive football you play at home during the season. Teams can also choose to participate in ESF on a non-competitive basis in all age groups if they prefer.
FESTIVAL RULES, FIXTURES & FINAL BRIEFING
A full final briefing will be sent to all participating teams 7 days before the festival takes place. The final briefing will include fixtures, schedules and the festival rules which have been sanctioned by the appropriate National Football Association.
FIRST AID/HEALTH & SAFETY
The safety and wellbeing of your party is our number one priority. Professional First Aid cover is provided at all UK festivals.
QUALIFICATION FOR TOURNAMENT
All teams attending ESF must be affiliated to a County, Area or School Football Association. Centre of Excellence and Academy teams affiliated to professional clubs and ‘representative’ sides are not permitted to enter ESF UK youth football tournaments. In accordance with the FA regulations, boys who are currently registered with an FA Premier League or Football League Academy, and girls who are registered with a Centre of Excellence, are not permitted to participate in the ESF Festival of Football.

5-a-side = £99 per team (inc. VAT)
7-a-side = £139 per team (inc. VAT)
9-a-side = £159 per team (inc. VAT)
11-a-side = £189 per team (inc. VAT)
Or pay a Club Registration fee of £399 (inc. VAT) and you can register unlimited teams from your club.
Team/Club Registration fees are non-refundable.
ESF are proud to support the NSPCC. £5 will be donated to NSPCC (Registered Charity Numbers 216401 and SC037717) for each team that registers to participate in the 2016 ESF Festival of Football.
Teams are responsible for organising their own transport to and from the pitches whilst at the Festival. At the Ayr Festival, there is a bus service between the Holiday Park and the football pitches for which weekend passes are available to purchase for £5 per person.
All teams will be required to complete a Player Registration Form, which includes the names and dates of birth of each player to be registered for the Festival. These forms will be signed by your club secretary to verify that all the details are correct. The committee will retain a copy of this form in the event that it should be necessary to follow up a query about a player’s age. In additional, teams are required to bring proof of age (League ID Card, Copy of Passport, Copy of Birth Certificate or similar) for all players participating in the festival.
If some of your own players are unable to attend ESF, leaving you short of a full team, it will be possible for you to bring a maximum of two ‘guest players’ with you to the festival. ‘Guest players’ must produce documentary evidence to your club secretary to prove that they are the correct age and they must bring these documents with them to the Festival. The remainder of your squad must be registered with your club for the current season and you must bring your league registration documents with you to the festival to prove this is the case.

At venues under the jurisdiction of the English FA, the following age qualifications apply. Boys and girls are permitted to play together in all age groups.

SCOTTISH & FRENCH VENUES
At the Ayr festival in Scotland and Paris Festival in France, the following age qualifications apply in accordance with all youth football played in Scotland and France. Boys and girls are permitted to play together in all age groups.

SPECIAL DISPENSATION AT SCOTTISH AND FRENCH VENUES
Where National Associations employ different age group qualification dates (i.e. 1st September as per the English FA), their domestic age levels will be accepted. Therefore an English U12 team would play in the U12 section at the Ayr and Paris festivals.
WINNERS & RUNNERS-UP AWARDS
There are superb individual awards for the full squad of the winners and runners-up. The winning team in each age group will also receive the ESF custom made 20” Champions Trophy to keep.
PLEASE NOTE: In accordance with the Scottish Youth Football Association rules, all mini soccer at the Ayr festivals will be non-competitive and results will not be recorded. All players will receive a quality participation trophy from a football celebrity to ensure all the children feel like winners.
ESF Grand Finale
The ESF Grand Finale is an invitation only event which is free of charge to participating teams. A £200 deposit is required from all teams to confirm their attendance. This deposit payment will be refunded to all teams who attend the Finale, but is non-refundable to teams who, after confirming their attendance, do not attend.
Up to 5 substitutes in the U7 and U8 age sections, and 7 substitutes in all other age sections, can be named and used during each game. Players who have been substituted can re-enter the game with the referees permission.
KICK OFF TIMES & PITCH LOCATIONS
To ensure you have as much time as possible to enjoy your holiday, the earliest kick-off will be 10.00am and matches are played within a close proximity of the holiday centres. Full details of schedules and pitch locations will be emailed to Group Leaders 7 days before the festival.
WATCH OUT-SCOUTS ABOUT
Scouts from some of the biggest clubs in the UK have been spotted at our Festivals. These include Arsenal, Manchester Utd, Chelsea, Liverpool, Celtic, Newcastle, Leicester City, Spurs, Everton, Leeds, Manchester City and many more. A number of young players have been signed by professional clubs after being spotted at ESF.
EXCHANGE OF PENNANTS
Although not compulsory, it is customary for teams to exchange a pennant or small memento before each game, in keeping with the spirit of the festival.
ESF Events support the Football Association’s Child Protection Policy. For a copy of the ‘Child Protection and Practice Handbook’ call the FA/NSPCC Child Protection Hotline on 0808 800 5000. All ESF youth football tournament organisers are CRB checked.
Independent, qualified referees are appointed for all tournament matches. They are paid match fees by ESF Events and are accommodated free of charge, with meals provided.
Teams from the local area where the football tournaments are staged are permitted to apply for entry into the Festival by returning the team registration form. However, we cannot guarantee a place in the festival until the numbers of touring teams are finalised in each age group. At this stage, if additional teams are required in a given age group, applications from local teams will be accepted on a first-come first-served basis.
ESF Events will use the personal information that you provide to process your booking and provide your youth football tour. We may also need to pass your information to third party service providers such as Butlins and Haven. The Group Leader for each booking has the authority to discuss all accommodation bookings made under the team booking with ESF Events and representatives from the Holiday Centres if required. It is the Group Leaders responsibility to inform all other members of your party what information about them you are providing to us, and what we will use it for.
You will be allocated one wristband for each member of your party booked through ESF Events. Please be aware that people without a wristband will not be able to participate in the Festival, attend the presentation ceremony or enter evening entertainment venues at the holiday centre.
IMPORTANT: Accommodation for your whole party, including players, families, managers and supporters, must be booked through ESF Events. If members of your party do not book their accommodation through ESF Events, the team will not be permitted to participate in the festival. The only exception to this is ‘local’ teams who are invited to participate in the festival to ensure the best possible format in each age group.
Accommodation will be allocated strictly on a first-come first-served basis. If you select a particular size or grade of accommodation which is no longer available, you will be offered the nearest alternative. Accommodation will always be available once your registration has been accepted but we cannot guarantee your first choice of accommodation.
In cases where a unit of accommodation is booked leaving unoccupied beds, a full subsidy will be charged. I.e If 3 people book a 4 berth unit of accommodation, they would have to pay for 4 people. Infants under the age of 2 years, who go free if you bring along your own cot, do not count towards the occupancy of a unit.
For full terms and conditions of the holiday centres and full details of accommodation and facilities, please refer to the relevant holiday company brochure and the ESF accommodation booking information which is emailed to all Group Leaders. Half Board where indicated is breakfast and evening meal. Evening meal is included on the day of arrival, but not if you arrive after the restaurant is closed. Breakfast is included on the day of departure.
Single sex bookings are not accepted.
FREE PLACES AT ALL UK VENUES
All teams will qualify for one free place for every 25 paying guests booked in your party to the value of the cheapest grade of accommodation booked by the members of your party. The free place will be deducted from your final balance.
ADULT TO CHILD RATIOS
There is a minimum adult to child ratio of 1 to 2 at all Butlins resorts and 1 to 3 at all Haven parks.
At least one responsible adult over the age of 21 must occupy each unit of accommodation.
ACCOMMODATION DEPOSITS & FINAL BALANCE
Accommodation deposits at all venues are £30 per person. On receipt of your ESF Registration Form, the accommodation booking information will be emailed to the Group Leader. You will need to book accomodation with a deposit of £30 per person by a set date, normally 3 weeks after your Registration Form is received. The final balance will be due no later than 56 days before the festival takes place.
The ESF Festival of Football is covered for ‘Public Liability’ insurance by ESF Events. However, this does not cover individual teams or ‘person to person’ public liability, personal accident or injury whilst attending the Festival. We strongly recommend that all participating teams, if they are not already covered, should take out insurance cover for these risks. We also strongly recommend all members of your party take out appropriate holiday insurance.
If you cancel your booking due to illness, accident or change of circumstances, and if you have taken insurance cover, payments for accommodation arising from the cancellation may be covered. Team/Club Registration Fees will not be refunded for cancellations. As soon as you know that you need to cancel you must notify ESF Events in writing or via email. Cancellation charges are calculated from the day ESF Events receive written instructions to cancel a booking. Please see the table below

BEHAVIOUR & CONDUCT WHILE ON FOOTBALL TOUR:
In registering your Team/Club to participate in ESF, all members of your party must accept and adhere to the ESF Code of Conduct at all times. It is the responsibility of the Group Leader and adults in the party to ensure the behaviour of all members of your party is acceptable at all times at the festival. Clubs will be charged for any damages caused by members of their party. In extreme cases of unacceptable behaviour, the Holiday Resort Management & ESF Events reserve the right to terminate a holiday, whereby part or all of a team may be required to leave the premises without refund.
In the unusual event that at a particular venue there are insufficient entries in any age group to go ahead with the youth football tournament, then you would be offered an alternative festival. If there is not an alternative ESF youth football tournament which is acceptable to you, then your Team/Club Registration Fees and any accommodation payments you have made would be refunded in full.
Whilst every effort will be made to complete the football tournament at each venue, in the event of extreme adverse weather conditions the organisers cannot accept responsibility for the curtailment of the football tournament. If you have any complaint about the organisation and running of the youth football festival which you think may justify a refund in full or part of the Team/Club Registration Fee, you must submit that complaint in writing within 14 days of the conclusion of the event.
We do not accept liability for any loss, damage or expense arising from a change or cancellation to your football tour which occurs due to unusual or unforeseeable circumstances beyond our control and that of our suppliers. Such events would include, for example, war, threat of war, riots, civil strife, pandemics, industrial disputes, terrorist activity, fire or adverse weather conditions, natural or nuclear disaster, decisions of Football Associations or similar events beyond our control.
To the best of our knowledge, all information on this website and in the current ESF brochure is accurate at the time of print. Please be aware that there may be occasions when the facilities listed in this brochure are modified or unavailable due to factors beyond our control.
The ESF Festival of Football is organised and staged by ESF Events Ltd (Company Registration Number 7695303).
As a member of The Association of Bonded Travel Organisers Trust Limited (ABTOT) provides financial protection under the Package Travel, Package Holidays and Package Tours Regulations 1992 for ESF Events Ltd, and in the event of their insolvency, protection is provided for the following:
1. non-flight packages commencing in and returning to the UK;
2. non-flight packages commencing and returning to a country other than the UK;
3. flight inclusive packages that commence outside of the UK, which are sold to customers outside of the UK;
4. accommodation only bookings;
1, 2, 3 and 4 provides for a refund in the event you have not yet travelled. 1 and 3 provides for repatriation. Please note that bookings made outside the UK are only protected by ABTOT when purchased directly with ESF Events Ltd.
Only contracts made with ESF Events Limited as a principal operator of the bookings will be covered by ABTOT. Bookings with, and payments made directly to, Butlins and Sports Experiences are not covered by ABTOT.
